This Privacy Policy explains how Atlanta Health Partners (“we”, “us”, “our”) operates the HireFlow application platform (“Platform”) on behalf of Omega Pediatrics to support recruitment activities. We respect your privacy and handle your information with transparency and care.

1. Scope

This policy applies to personal information collected from candidates and users of the Platform in the United States. We align with SHRM best practices and applicable U.S. federal and Georgia state laws.

2. Information We Collect

  • Contact information: name, email, phone.
  • Professional information: resume/CV, work history, education, skills, certifications, years of experience, job preferences, expected compensation, notice period.
  • Assessment data: written responses, knowledge test answers, interview scheduling details, and interview artifacts (if any).
  • Usage/technical data: device and browser information, IP address, timestamps, and security logs.

3. How We Use Information

We use your information solely for recruitment purposes for Omega Pediatrics, including to:

  • Process and evaluate your job application and qualifications.
  • Communicate with you regarding application status, interviews, and scheduling.
  • Administer assessments and track progress through hiring stages.
  • Use AI to assist with analysis and question generation to increase thoroughness and reduce the chance of human omission or fatigue. Our AI is instructed to focus strictly on job-relevant criteria derived from the job description and to disregard demographic or social information. Human reviewers make final hiring decisions.
  • Improve Platform security and performance, and comply with legal obligations.

We do not sell your personal information and do not use it for advertising or unrelated purposes.

4. Sharing of Information

  • Internal hiring team at Omega Pediatrics involved in the recruitment process.
  • Service providers (e.g., secure hosting, AI analysis tools) under contracts that restrict use to requested services and require appropriate safeguards.
  • Legal compliance when required by law or to protect rights, safety, and security.

We do not share your data with third parties for their independent marketing or any unrelated uses.

5. Data Retention and Deletion

We minimize retention. All personal data related to a job application on this Platform is automatically purged and permanently deleted 30 days after the conclusion of that specific application process (for example, when a position is filled, you withdraw, or your application is no longer under consideration). Backups may persist briefly per secure backup cycles, after which data is purged.

6. AI and Model Training

We use reputable AI service providers through their enterprise APIs and do not grant permission for your data to be used to train public, general-purpose models. Providers’ API terms generally state that API data is not used to train such models. We use AI only to assist with job-relevant analysis and internal scoring.

7. Your Choices and Rights

  • Access and update your information within the Platform.
  • Request deletion prior to the 30-day purge by contacting us (subject to legal allowances).
  • Withdraw consent to AI-assisted evaluation, understanding it may affect our ability to proceed with your application.
  • No discrimination: Exercising these rights will not result in discriminatory treatment.

8. Security

We implement reasonable technical, administrative, and physical safeguards to protect personal information. No method of transmission or storage is 100% secure, but we continuously improve our controls.

9. Children’s Privacy

The Platform is not intended for individuals under 16. We do not knowingly collect data from children under 16.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated effective date.
